THIRD ANNOUNCEMENT (FINAL)

"MAGNETIC FIELDS ACROSS THE HERTZSPRUNG-RUSSELL DIAGRAM"

JANUARY 15 - 19, 2001- SANTIAGO, CHILE

GENERAL INFORMATION

This third and final announcement is intended to give up-to-date information about the workshop.

At the Airport:

Immigration and custom formalities are generally straightforward.
However, participants who are citizens of the following countries should be aware that, upon arrival in Chile, they will have to pay a so-called "reciprocity tax":
Australia (for which the amount of the tax is US $ 30), Canada (US $ 55), Mexico (US $ 15), USA (US $ 45). The quoted amounts are correct at the time of writing, but may be subject to changes between now and the date of the workshop. Payment must be made, IN CASH ONLY (US DOLLARS), at a special counter located before immigration.

There is NO ATM or other cash withdrawal service in that area: please make sure that you come in with a sufficient amount of cash.

Transfer to Hotel Director:

Hotel Director has organized a transfer service for the participants, from the Santiago International Airport to Hotel Director in Vitacura, at the price of approx. 3.000 Chilean pesos ( US $ 6.) per passenger with a company called : TRANSFER. Look for the TRANSFER counter in front of baggage claim belt N°1 (or next to Duty Free).

This service will be available for participants arriving January 12, 13, 14, and 15; AND for departures on January 19, 20, 21 and 22.

This service is available to all participants (inclunding those not lodging at the Hotel Director) and their accompanying guests, but only to Hotel Director. For other destinations, you will have to take a taxi from Hotel Director.

The company in charge of this will be identified by a "MagField-2001" board.

Upon arrival at the Santiago airport, please contact them at their stand located opposite the exit of the security area, in the arrival hall.

  • You can also hire a taxi. We advise participants without previous experience of Chile against accepting offers of one of the many individual taxi drivers generally awaiting passengers at flight arrivals. If you prefer taxis to the shuttle organized by the hotel, use of airport official taxis is strongly recommended: order one at the stand that is located in the arrival hall. Taxi fare to the eastern part of Santiago (the area of the workshop venue) is of the order of 12,000 Chilean pesos (about US $ 25). You may also use one of the various transfer companies. Quality of service is variable, and you may end up making a long loop to drop passengers at various locations before finally arriving at your hotel.
  • Note that the taxi and transfer companies will only accept Chilean currencies; an ATM accepting credit cards and connected to the Cirrus/Plus system is located in the arrival hall.
  • The most adventurous could also take a bus from the airport to the city centre and from there a regular city bus to Vitacura. Do not consider this option unless you are an experienced Santiaguino.
  • If you plan to reach the conference by car, the hotel is located on Avenida Vitacura 3600, just below the intersection with Av. Alonso de Cordova. The hotel has free parking for the participants. Foreign participants with no previous experience of Santiago may hesitate to drive in town.

Registration desk:

The registration desk will be opened next to the conference rooms at Hotel Director on Sunday, January 14, from 4:00 p.m. to 6:00 p.m. During the workshop, from January 15 till 19, the registration desk will be opened before and during the sessions (from 8:30 a.m.). We encourage you to register on Sunday. Please remember that we are not equipped to process credit cards, but we will accept Chilean and US currencies, and checks drawn on a Chilean bank.

Internet facilities:

A few PCs running Windows, equipped for basic Internet connection (Web, telnet, ftp), will be accessible to the workshop participants in the hotel business centre.

Optional tour:

The optional tour to the Gemini and VLT Observatories (January 20-21) is confirmed, since the minimum number of 15 participants has been reached. A limited number of additional participants can still be accommodated.
If you are interested, register without delay at : Optional Tour. The tour registration will be definitely closed at the latest on December 31. It may be closed earlier if the maximum number of participants is reached.

Oral presentations:

A preliminary schedule of the oral presentations is included in Scientific Programme. It is up to date as of December 15, 2000. However, please note that small modifications may still occur until the beginning of the workshop.

  • A final version of the programme will be distributed at the workshop.
  • Time allocation for invited talks is either 40 minutes ("long" talks) or 20 minutes ("short" talks).
    Contributed talks (numbered C.n in the schedule) are allocated 20 minutes. These allocations include time for the discussions: 5 minutes for long invited talks, 3 minutes for short invited talks and contributed talks.
    Please make sure that you check your time allocation and prepare your presentation accordingly.

Audiovisual support:

The conference room will have two projection screens, two overhead projectors and a 35-mm slide projector.
Additionally, we will have a standard datashow projector. If you plan to make an electronic presentation, we recommend that you use your own laptop and/or have your presentation ready on a MS-DOS-formatted floppy in PowerPoint format.

We also strongly recommend that you have a backup copy of your presentation on traditional viewgraphs.We will also have a VHS multi-standard VCR hooked to the datashow for video projections.
In case you plan to use these electronic facilities, please contact the LOC staff 30 minutes before the start of your session, so that you can test for possible technical problems.
You should also hand out your 35 mm slides to the operator 30 minutes before the beginning of the session. The conference room is rather long. In order to ensure good visibility of your viewgraphs for those participants sitting at the back of the room, please make sure to use large enough fonts in the text and symbols in figures.

As a rule of thumb, the font size to be used should not be smaller than required to fit approx. 10 lines of text on a viewgraph in landscape orientation.

Posters:

Each poster has been assigned a code number (refer to Posters), which will be used as reference for identification of the location where it should be posted. Posters will be displayed in an area adjacent to the place where coffee will be served, for easy viewing during the coffee breaks. To fit on the panels, posters should be smaller than 98cm wide and 125cm tall. Thumbtacks will be provided by the LOC.
All posters will remain on display for the whole duration of the workshop.

Proceedings:

The proceedings of the workshop will be published by the Astronomical Society of the Pacific, as part of their Conference Series. The editors will be G. Mathys, S.K. Solanki and D.T. Wickramasinghe.

All the scientific papers (talks and posters) presented at the workshop will be published.
The page allocation for the various types of contributions is as follows:
- long invited talks (40 min), sessions 1-5: 10 pages, including 1 page for the discussion
- long invited talks (40 min), session 6: 12 pages, including 1 page for the discussion
- short invited talks (20 min): 6 pages, including 1 page for the discussion
- contributed talks (20 min): 6 pages, including 1 page for the discussion
- posters: 4 pages
Page allocation will be strictly enforced.

Papers exceeding the allocated length will be returned to their authors for shortening. Such iteration represents a waste of time and effort: authors are therefore urged to make sure that their contribution fits within the allocated space before submitting it. The ASP sets strong emphasis on publishing conference proceedings shortly after the meetings, and as part of the publishing agreement, the editors had to commit themselves to delivering the manuscript quickly to the publisher.

In order to meet this commitment, the deadline for submission of the papers by the authors has been set to:

The editors strongly urge all the authors to stick strictly to this deadline. Late papers cannot be guaranteed to be included in the proceedings volume. Manuscripts must be prepared in LaTeX using the ASP Conference Series style file.
This style file, and the corresponding instructions, will be made available by beginning of 2001 through the workshop Web page (http://www.eso.org/magfield2001/).

Figures should normally be supplied as encapsulated PostScript files. For submission of the paper, its LaTeX source and the PostScript files of the figures should be sent by e-mail to magproc@eso.org, before March 1, 2001.

IMPORTANT NOTE ABOUT FIGURES IN COLOUR:

Figures will, by default, appear in black and white in the proceedings volume (free of charge), whether they are submitted in black and white or in colour. If you submit figures in colour and you wish them to appear in colour in the volume, you MUST explicitly request it from the editors.

Your request should be sent by e-mail to magproc@eso.org (before the March 1, 2001 deadline), and it should include a statement by which you commit yourself to paying the extra costs corresponding to colour reproduction.

These costs will, without exception, be charged to the authors. For oral presentations, it will be the responsibility of the author of the presentation to edit the discussion and enclose it with his/her manuscript. In practice, during the workshop, participants who ask questions or make comments in the discussions following talks will be handed out a discussion form where they will be requested to indicate their name and the text of their question/comment. Once this is done, they will have to turn this form to the speaker to whom the question or comment was addressed. The speaker will collect all the forms related to his/her talk and use them as the basis for preparation of the discussion page to be appended to his/her paper. The discussion page is reserved; the editors will not accept that part or whole of it be used for extension of the text of the contribution beyond the nominal space allocation.
